Challenges: The biggest challenge in developing the Annual Report was fact checking all of the information and making sure every family, donor and faculty member received recognition. Another challenge was portraying the data, statistics and information in a way that is easy for all to understand.
Description: The Annual Report for our school’s Annual Fund is an informational piece for parents, alumni and faculty. Our school’s Annual Fund provides every educational advantage for our students and supports faculty as they teach, mentor and coach, ensuring that every child is known and valued. The Fund positively influences the intellectual, athletic and personal development of every student, every day. An Annual Report is released each year, to show donors how their generosity has made a difference and most of all to thank and recognize them for the support. The report also includes financial summaries, an operating budget a list of donors and volunteer highlights.
Strategy: Strategy: The strategy for the Annual Report was to publish a piece that would say “thank you” to donors and recognize them for their dedication and ongoing support of the school. It would include photos of students, volunteers and donors and provide readers with factual data and analytics. The photos capture the happiness of the students, while giving the publication a fresh and colorful appearance.
Tactic: With the help of the school’s designer, Dot Matrix, the Director of Development was able to transform her ideas into a printed publication. After several design meetings, the Director of Development provided the designer with all information, text and photos. This required all information to be carefully reviewed and accurate. The Director of Development also received input from teachers and students to give the report a more personal touch. After the
report was reviewed by the Communications Department, Development team members and the Head of School, it was ready to be launched before the 2012-2013 school year began.
Results: The Annual Report impressed many individuals in the school community, inspiring many to make a gift to the school after witnessing what a difference it can make in the lives of our students and teachers. Despite a few hardships the school faced, such as Hurricane Sandy, the Annual Fund was a huge success in the next school year.
